AI in Office Suites refers to functions built directly into the word processor, spreadsheets, email and communication platform. The advantage over standalone tools is that the assistant works in the environment where people already are, and has access to company documents according to existing permissions, so there is no need to copy content elsewhere. There are three pitfalls. Licences are paid per user on top of the existing cost, and for a larger team this becomes a noticeable expense, so it is worth starting with a smaller group. The benefit depends heavily on order in company documents and on how access rights are set up. And the functions change quickly, so an assessment made after a month may no longer hold true in six months. Before a company-wide purchase, run a pilot measuring real usage.
